Fifteen questions, answered the way we answer them on the telephone

These are the questions that actually come in, in roughly the order they come in. If yours is not here, the desk will answer it in a sentence.

What happens if my flight is delayed?

If you gave us a flight number when you booked, we watch the arrival and move the pickup time with it. That is the entire reason the field exists. A booking made with a flight number also carries 60 minutes of free waiting after the aircraft is on the ground, against 15 minutes on a booking made against a clock time you typed.

How far ahead should I book?

For a sedan or an SUV at an ordinary hour, the day before is comfortable and the same morning is usually fine. For a sprinter van, for anything before five in the morning, or for a holiday weekend, give us as much notice as you can. There are far fewer vans on the road than people assume.

Can I get a price without committing to anything?

Yes. Send the run through the booking form and you get a free quote covering the whole ride, tolls included, with no obligation to accept it. Nothing is held and nothing is owed until you say yes.

Why does the price on the site say starting from?

Because tolls, road charges, waiting time, extra stops and the hour of the night all change the total, and a single promised number would be contradicted by our own pricing page. The published figures are floors. The quote you accept is the number that matters, and it does not move afterwards unless you change the ride.

Will the driver meet me at the terminal?

If you ask for it when you book. Meet at terminal means the driver parks, walks into arrivals and waits with a card showing your name. It costs more than a kerbside pickup because parking costs money, and it adds time at the end for getting back out of the structure. Kerbside pickup means the driver comes to the arrivals kerb once you have your bags.

How do I know which vehicle class to book?

Count the checked bags before you count the people. A sedan seats three and takes three cases, but not comfortably at the same time. The table on the vehicles page turns party size and bag count into a class, and if you are unsure you can leave the field on the option that asks us to advise.

Can you fit a child seat?

Say the ages in the notes field and we ask the operator to fit the right seat. Some operators charge for it and some do not, and your quote will say which before you confirm.

What if I am travelling with a wheelchair?

A folding chair travels in the boot of an SUV or the floor of a van without any difficulty. A powered chair needs a vehicle with a ramp, which is a specific booking with a longer lead time. Tell us early and you will get an honest answer about your date rather than an optimistic one.

Do you take payment on the website?

No. There is no card field anywhere on this site and none is planned. Payment is settled with the operator, and the quote tells you how before you confirm. Nobody from this desk will ever telephone and ask you to read out a card number.

What is the notice period for cancelling?

Four hours before the pickup time for a sedan or an SUV, and twelve hours for a sprinter van or any booking with more than one vehicle. The cancellation policy sets out what happens inside those windows and what we do when a cancelled flight is the reason.

Do you cover pickups outside New York City?

The zone is the five boroughs paired with a run to or from JFK, LaGuardia or Newark, plus a short list of edge cases on the service areas page. Beyond that the answer is no, and you will hear it the same day rather than at the kerb.

Nobody appeared for my pickup. What now?

Call the operator number we sent with your confirmation first, because on the day they know where the vehicle is. If that gets you nowhere, call the desk on +1 (646) 559-3082 during hours. If a booking we passed on was not covered, we say so plainly and deal with it rather than pointing at each other.

Can you move more than one vehicle for a group?

Yes. Two vans, or a van for the equipment and an SUV for the people who need to arrive first, is an ordinary booking here. Both vehicles are quoted individually and confirmed as one reservation. The crew and equipment page explains how to brief it.

Why is a car service called Luxury Travel Films?

Because the desk grew out of a production services outfit that spent its time getting crews and equipment to airports, and it kept the name it was already known by when the car side was incorporated on its own in 2021. We are not a film company and have no connection to any studio or publication. The about page tells the whole story in a paragraph.

Booking requests are answered Monday to Friday from 6:30 am to 8:30 pm and Saturday from 8:00 am to 4:00 pm, Eastern Time. We are closed on Sunday and answer Sunday requests on Monday morning.

If it is a question about a booking you have already made and today is the day, the operator number on your confirmation is the fastest route, because on the day they know where the vehicle is and we do not.
